Terms & Conditions

1) Physical and psychological conditions

The organization alerts all participants to the importance of having the physical and psychological conditions necessary to participate in the event.

The event is public and open to all who wish to participate (subject to compliance with all requirements in this regulation). However, the organization is not responsible for the participants’ lack of physical and psychological preparation for the challenge they are proposing.

The organization recalls that participation should be consciously considering the following aspects:

  • Physical and psychological preparation of each participant.
  • The distances and the unevenness (altimetry).
  • Temperature and climatic conditions.
  • Type of terrain and skills to be able to ride moderate and technical terrain.

2) Rules of conduct

The organization organizes the event with a sporting and fair-play spirit, as well as in the fulfilment and promotion of physical activity and respect for the environment.

Inappropriate behavior and infraction of sporting conduct will be considered by any athlete who:

  • Use offensive language before another athlete, member of the organization, or public.
  • Use verbal or physical aggression during the event.
  • Provoke or instigate agitation and alarm related to the event on social networks, blogs, personal pages, websites, or media.

PENALTIES:
1st - Warning.
2nd - Expulsion from the event.
3rd - Prohibition to participate in future events organized by this entity.
The Athlete will be informed verbally and later notified via e-mail of the decision.

3) Organization’s responsibilities

The registered participants agree to participate voluntarily and under their own responsibility. Consequently, they agree not to complain or make any demands to the organization, its collaborators, authorities, sponsors, or other participants regarding any responsibility towards them and their heirs, in everything that exceeds the legal coverage.

4) Insurance

All participants are covered with accident insurance in a policy exclusively contracted for the event. The organizer takes out civil liability and personal accident insurance for the duration of the event.

  • CLAIM PROCEDURE: In the event of an accident, the participant must first contact the organization for referral to a medical institution.
  • FORMALIZATION: Participation of the accident will be formalized after medical assistance. The organization has 8 days to report the occurrence to the insurer.
  • REIMBURSEMENTS: All expenses related to the claim must be settled in advance by the victim. Invoices must be sent to the insurer for later reimbursement according to coverage.
  • COVERAGE CATEGORIES: Death by Accident; Permanent Disability; Treatment Expenses; Funeral expenses; Rescue, search, and transport operations.

Note: Expenses exceeding coverage limits must be borne solely by the victim.

5) Enrolment duly formalized

Registration is only regularized when made on the official website (www.mountainbikemadeira.com) and paid.

  • CONFIRMATION: Participants should receive a confirmation email. If not, they must contact the organization.
  • TERM OF RESPONSIBILITY: Participation is subject to payment and delivery of the signed Term of Responsibility (sent with bank details) to mountainbikemadeira@gmail.com.
  • ACCURACY: The participant is solely responsible for the veracity of the submitted data.

6) Payment terms

  • Upon registration, you will receive an email with bank details.
  • BANK TRANSFER is the ONLY payment method. (PayPal or others are NOT accepted).
  • Proof of payment must be sent within 48 hours after receiving the email.

7) Cancellation policy

Until September 30, 2026: 100% Refund.
After September 30, 2026: No refunds except for:

  • COVID-19 State limitations (Event cancelled): Full refund or postponement.
  • COVID-19 Travel restrictions from your country: Postponement or 80% refund (proof required).
  • Injury: Postponement or 80% refund (with medical justification).
  • ADVICE: Purchase travel insurance for extra coverage (e.g., crashing before the event).
  • FEES: Participant is responsible for all bank fees, exchange rates, and processing costs.

8) Secretarial and check-in

Location: Headquarters of Clube Naval do Seixal.
Requirements: ID Document with photo and submission of the signed Term of Responsibility.

9) Registration implications

By registering, the participant:

  • Declares to be physically fit and aware of the risks.
  • Agrees to respect this regulation and the organization’s instructions.
  • Commits to promoting ethics and good coexistence.
  • Accepts exclusion/ban without refund in case of public/private disrespect towards others.

10) Data protection

Organization: Clube Naval do Seixal (responsible for processing data).

  • PURPOSE: Data (Name, DOB, ID, Tax number) shared with Insurance companies and health/safety entities.
  • RETENTION: 1 year.
  • RIGHTS: Access, rectification, or opposition via mountainbikemadeira@gmail.com. Complaints can be lodged with CNPD (www.cnpd.pt).

11) Image rights

The participant waives image rights during the event for use by the organization or official partners. Only the organization can grant accreditation to media or exploit audio-visual/photographic content.

12) Final provisions

  • The organization reserves the right to change these regulations at any time without prior notice.
  • All guidelines follow the Regional Government of Madeira decrees.
  • Participants must follow their country’s and Madeira’s travel requirements.
